Adding a production

To add a production to your season on your Operabase page, follow these steps:

  1. Log in and click on “Edit” on your organisation page
  2. Navigate to the “Seasons” tab 
  3. Search for the production in your season by typing its name in the search bar. Ensure you check if the production or musical work has already been documented on Operabase, as we have documented all performances since 1996.
  4. If the production is not in your season, click on “Add production” and select one of the the options provided: Add production, or Revive production:

Add production:

Click on Add a production and search for the production in our system. You will get a full list of already published productions that match the filters you’ve selected. Please scroll through the entire list before adding a duplicate / new production. Fill in as many filters as possible to narrow your search.

If the production is on Operabase:

Select the production from the list. Click the arrow near the date to expand the details on that production. Once you’ve check the details, click Associate your organisation with this production.

You will be redirected to edit the published production. Your arts organisation will be automatically added as a co-producer of this production, ie. associated with this production. 

Ensure you check all the sections of this production, cast & crew, dates, performing venue and photos, video, reviews added earlier to this published production. Once finished, click on the arrow to head back to your schedule and confirm that the production is listed.

If the production is not on Operabase:

Once you have searched for the production in our system and it does not appear, click on Create New.

The process has multiple steps and you will need to include as much information as possible in order to be able to publish the production.

  1. Add a musical work by clicking on Add programme (musical work details) and add the composer and musical work.
  2. Indicate how the work is performed. 
  3. If the production has a custom title, please include it in the Production custom title field.
  4. Your organisation will automatically be added in the "Produced by" field but you can add co-producers. Search the name in the search bar or create a new entity if it is not listed on Operabase.
  5. Add a website link for the production in the Tickets & sale dates section.
  6. Select the performance date/dates (you can also indicate if there is a live stream date and for past productions, you have the option to add a full performance video).
  7. Add the Cast & Crew.  This step is very important to make the production visible across all artists' profiles featured in your production.
  8. Please check each tab and add more information to the production such as videos, photos, ticket links and more.
  9. Click on Publish once you're done.
  10. If you are not ready to publish the production and would like to continue editing it at a later date, please click on the back arrow and you will find it in the Drafts folder where you can continue editing at a later date.

Revive production

Many popular works from the repertoire are revived each season. Please use this feature to add a production unless it is a musical work that has never been performed at the organisation.

  1. You can either search within your season or across Operabase. Add details to narrow your search and confirm which production by expanding the search results.
  2. Once you have identified the production you'd like to add to your season, select it and choose what information you'd like copied over.
  3. Add details to the relevant sections.
  4. Once you're done click on Publish.
  5. If you are not ready to publish the production and would like to continue editing it at a later date, please click on the back arrow and you will find it in the Drafts folder where you can continue editing at a later date

Adding a production with missing programme, or partially announced musical works

To add a production with unannounced or partially announced musical works, follow these steps:

  1. Log in and click on “Edit” on your Operabase profile.
  2. Navigate to the “Seasons” tab.
  3. Click on "Add production"
  4. Use the checkbox "Programme not / partially announced." Please note that this should only be used when the programme is yet to be announced or has been partially announced. This is particularly useful for concerts, galas, and recitals. Keep in mind that the production won't be easily discovered in Performance search since it is incomplete — performed works are missing.
  5. Once the programme has been released in full, return to the production and use the "Add programme (musical work details)" button to add details of all musical works performed in the production.
  6. Ensure to add artists correctly under the Cast & Crew section, associating each performer to the correct roles per each Musical work presented in the programme. This will make sure artists are found in the Casting Tool.
  7. You can remove the flag “Programme not / partially announced” only when no artists are listed under tab “Programme not announced” in Cast & Crew section
