Roster / Artist representation management

The Agency Roster allows you to add, manage, and update the artists you represent on Operabase. You can also request access to manage their profiles directly.

Managing Pending Requests:

  • Pending Representation Requests

    When an artist adds your agency to their profile, you will see a pending request at the top of the roster section.

    You can:

    • Approve the request to confirm representation and add the artist to your roster

    • Decline the request if the representation information is incorrect

Adding Artists on Your Roster

  1. Start Adding Artists:
    • Click on "Add to roster"
  2. Search and Select Artist:
    • Search for the artist or organisation name
    • If the artist does not appear, you can create a new entry
  3. Add Another Profession (if applicable):
    • If you represent the artist in a profession other than their primary one, click on "Add another profession"
    • Select the relevant profession/voice type/instrument. (Please note that this change will not reflect on the artist’s profile but will be visible on your roster).
  4. Add Representation Details:
    • Complete the representation information:

      • Territories where you represent the artist
      • Tick “General Management” if applicable
      • Select an agency representative (must be a team member added under the Team section)
  5. Save changes:
    • Click “Save” to confirm and add the artist to your roster.


How to Edit Artists on Your Roster

To update an existing artist:
  • Click “Edit representation details” to update territories, role, or representative
  • Click the bin icon to remove an artist from your roster

Additional Features

Show Additional Agencies:

If an artist is represented by multiple agencies:

  • Use “Show additional agencies” to view all representation details
  • Review and ensure the information is accurate and up to date

View Updates

You will receive an email with roster updates (updates that have been made to artist profiles), such as:

  • New productions added
  • Updated performance credits from organisations and festivals

If you have access to the artist profile, you can:

  • View updates
  • Choose to show or hide new information on the artist’s profile

Request access

You can request access to manage an artist’s Operabase profile directly.

How to request access:

  1. Click “Request access”
  2. Accept the terms
  3. An email request is sent to the artist

What happens next:

  • The artist accepts or declines the request
  • If accepted, you receive confirmation access

Once Access Is Granted

You will be able to:

  • Edit the artist’s profile
  • Manage performance credits and profile information
  • Upgrade the artist to an Operabase Pro Artist account (if applicable)
